Supervising Records Specialist

Our fast-paced Personal Injury and Defense Law Firm in Columbia, SC, is growing, and we are looking to hire a high-caliber, full-time Supervising Records Specialist.

The Supervising Records Specialist position provides necessary managerial oversight for our Records and Documents team to ensure timely and secure handling of client materials. To be successful at the Jeffcoat Firm you must be a go-getter, innovative, hard-working, and embracing of technology.

The Records Specialist will report to the Legal Technology Director. A successful candidate will be eager to embrace technology and will be quick to adapt as the landscape of medical records changes.

As the Supervising Record Specialist, you will: 

  • Ensure compliance with set processes and procedures by team members
  • Be a managerial contact and resource for our outstanding Records Team, helping to perform and maintain Human Resources functions of the team including but not limited to hiring, firing, timecard, and time off management
  • Identify process and procedure changes to improve efficiencies
  • Audit performance and maintain Key Performance Indicators (KPIs) for all team members
  • Meet regularly with the Supervising Civil Case Manager to support cross-team collaboration
  • Hold underperformers accountable and provide feedback that fosters improvement
  • Assist with the creation of and adherence to training plans
  • Help facilitate and support continuing education for your team
  • Monitor the capacity of each team member and ensure the appropriate assignment of team members to case files
  • Conduct final audits of case files to ensure matters are “Demand Ready” for the Case Manager and Attorney
  • Track damages and policy limits and alert team members of potential limits demand potential
  • Be consistently available to aid with records retrieval and processing obstacles that arise
  • Work to build strong relationships with medical providers and copier services to ensure a more seamless records-gathering process

You have: 

  • Legal and managerial experience of at least three years 
  • A can-do, positive attitude 
  • The ability to inspire, coach, and educate team members 
  • A constant priority of retaining and rewarding A+ Players  
  • A willingness to get in the trenches with your team and do whatever it takes to delight a Jeffcoat Firm Client

Pay: $30.00 – $35.00 an hour
